1. Scope of Services
Landscaping services may include a wide range of outdoor improvements such as garden design, turf installation, planting, hedge shaping, hard landscaping, patio preparation, paving, fencing support, lawn care, seasonal maintenance, and similar outdoor works. The exact scope of each project will depend on the agreed quotation, the site conditions, and the client’s requirements.
Only the services specifically agreed in writing are included in the project scope. Any additional tasks requested during the work may be treated as extra services and may require revised pricing or a new schedule. This helps ensure that expectations remain accurate and that each project is delivered fairly.
Project Boundaries
Each landscaping project is defined by the initial consultation, site assessment, and approved proposal. The scope does not automatically include work outside the agreed area, unforeseen repairs, specialist engineering, or tasks that become necessary due to hidden site issues unless those items are separately agreed.
2. Estimates, Quotations, and Pricing
All estimates and quotations are based on the information available at the time of review. Pricing may consider labor, materials, equipment, access, disposal, and the complexity of the job. Because landscaping conditions can vary, quotations may be adjusted if the actual site differs from the information originally provided.
Quoted prices are typically valid for a specified period, after which they may be reviewed. Any changes requested by the client after acceptance may affect the final cost. This may include changes in design, materials, project size, or timing. Written confirmation of any pricing changes is strongly recommended so that both parties maintain a shared understanding.

Any additional costs will be communicated as soon as reasonably possible. This allows the client to decide whether to proceed with the revised arrangement.
3. Bookings and Scheduling
Project dates and times are scheduled based on availability, weather conditions, the nature of the work, and material readiness. Landscaping is often affected by external factors, especially when work is carried out outdoors. For this reason, planned dates may occasionally shift.
Clients are expected to ensure that access is available on the scheduled day. If delays occur because of restricted access, incomplete site preparation, or changes requested at short notice, the project may need to be rescheduled. Reasonable flexibility helps support efficient project delivery.
Weather and Site Conditions
Some landscaping tasks cannot be performed safely or effectively in extreme rain, frost, high winds, or saturated ground. Where weather makes it unsuitable to continue, work may be paused and rescheduled. This is not considered a breach of agreement. Safety, quality, and durability remain the priority.
4. Client Responsibilities
To help projects progress smoothly, clients have certain responsibilities. These include providing accurate information, ensuring access to the site, removing personal belongings where necessary, and notifying us of any underground services, hidden hazards, or special site concerns.
Clients should also identify any fragile features, protected planting areas, or items that require care before work begins. Failure to provide relevant information may impact the project timeline, the final result, or the total cost.
Site Preparation
- Clear access paths where possible
- Remove vehicles, bins, toys, or garden furniture if requested
- Inform us of pets, gates, or security arrangements
- Highlight buried cables, pipes, or drainage routes
Where the client is responsible for preparatory tasks and those tasks are not completed in time, the project may be delayed or additional charges may apply if extra labor is required.
5. Materials and Substitutions
Materials used in landscaping can include turf, soil, gravel, timber, paving, edging, aggregate, plants, and other related items. Natural materials often vary in color, texture, size, and finish. Such variations are normal and should not be treated as defects unless they fall outside acceptable industry standards.
In some situations, specific materials may become unavailable due to supplier issues, seasonal restrictions, or transport delays. If this happens, suitable substitutions may be suggested. Any substitute materials should preserve the general style and purpose of the original plan as closely as possible.
Plant Availability
Plant stock is subject to seasonal variation and growing conditions. If a selected plant variety is unavailable, an equivalent alternative may be recommended. The appearance of plants may also change naturally over time due to weather, soil conditions, and maintenance.
6. Access to the Property
Safe and practical access is essential for carrying out landscaping work. The client should ensure that gates, driveways, side paths, and work areas are accessible as agreed. If machinery, materials, or waste removal vehicles are needed, adequate access must be maintained.
If access is limited and special arrangements are required, this may influence project duration and cost. Any access restriction that affects delivery should be communicated in advance whenever possible. Where access conditions change during the project, the schedule may need to be adjusted.
7. Workmanship and Quality Standards
All services are intended to be completed with reasonable skill, care, and attention. Landscaping is a craft influenced by natural materials, site conditions, and environmental changes. As a result, finished results may differ slightly from digital images, drawings, or verbal descriptions unless a detailed specification has been formally agreed.
Natural settling, growth, shrinkage, and weathering are expected in many landscaping installations. These processes are normal and should not be mistaken for defects if they occur within acceptable boundaries. We aim to deliver durable work that meets the agreed requirements and professional standards.
Minor Variations
Small variations may occur due to measurements, soil conditions, leveling requirements, and product tolerances. These variations are generally part of landscaping work and do not necessarily affect functionality or appearance in a meaningful way.
8. Changes to the Project
If the client requests changes after the project has started, the impact on time, materials, and labor will be assessed. This may include redesigning elements, adding features, replacing selected materials, or altering the scope of work. Changes are only confirmed once both parties agree to the revised arrangement.
Requests for changes can affect other scheduled jobs and may alter the completion date. For that reason, clear communication is important throughout the project. Written confirmation is recommended for all material changes to avoid misunderstandings.
9. Cancellations and Postponements
Bookings may sometimes need to be postponed or cancelled. If a client wishes to cancel or reschedule, notice should be provided as early as possible. The closer the cancellation is to the planned work date, the more likely it is that costs, reserved resources, or lost scheduling time may need to be considered.
If a project is postponed due to weather, safety concerns, material delays, or other unavoidable issues, a new date will usually be arranged. Neither party should assume a fixed date will always remain unchanged when outdoor conditions or supply circumstances are beyond reasonable control.
10. Waste, Debris, and Site Cleanliness
Landscaping work often produces soil, cuttings, packaging, rubble, and general debris. Unless otherwise agreed, waste will be handled in accordance with the project arrangement and applicable disposal practices. The site will normally be left in a reasonable condition, though some settling or light cleaning may still be required after completion.
If the client requests removal of large quantities of waste or materials not included in the original arrangement, additional charges may apply. Clean-up standards can vary depending on the type of work completed and the extent of the site transformation.
11. Liability and Limitations
While every effort is made to work carefully and responsibly, landscaping projects involve inherent risks, especially in outdoor environments. Liability may be limited where issues arise from pre-existing site conditions, hidden defects, inaccurate information, client instructions, or natural events beyond reasonable control.
We are not responsible for damage caused by undocumented underground services, unstable structures, pre-existing drainage problems, or conditions that could not reasonably be identified before work began. Clients are encouraged to disclose all known site risks before the project starts.
Force Majeure
Events such as severe weather, flooding, strikes, supply disruptions, accidents, or other uncontrollable circumstances may delay or prevent project completion. In such cases, obligations may be suspended until work can reasonably resume.
12. Payment Terms
Payment terms will be stated in the quotation, invoice, or written agreement. Clients are expected to make payments according to the agreed schedule. This may include deposits, staged payments, or final settlement upon completion. Timely payment supports project continuity and helps cover labor and material commitments.
If payment is late, work may be paused until the outstanding amount is settled. Interest, admin charges, or recovery steps may apply where permitted by the agreement. All payment arrangements should be reviewed carefully before confirmation so expectations remain clear on both sides.
13. Ownership of Materials
Materials delivered to the site remain subject to the relevant payment arrangement until all amounts due are settled, where applicable under the agreed terms. Once installed, certain materials become part of the property, but payment obligations still apply as agreed in the contract.
Any materials stored on-site before installation should be handled carefully. The client should not move, use, or dispose of items intended for the project unless approval has been given.
14. Intellectual Property and Design Materials
Plans, sketches, layout ideas, written proposals, and design concepts may be protected as intellectual property. These materials are provided for the purpose of the agreed project and should not be copied, resold, or reused without permission where such rights apply.
If a design is produced specifically for a client, it remains tied to the terms of the original arrangement. Respect for design work helps maintain professional standards and supports fair use of creative materials.
15. Complaints and Issues
If a client has concerns about the work, the issue should be raised promptly so that it can be assessed fairly. Most concerns can be addressed through clear communication, inspection, and reasonable follow-up if needed. Delays in reporting an issue may make it harder to determine the cause or provide an appropriate response.
Where a concern relates to an agreed service, the matter will be reviewed in line with the project scope and site conditions. The aim is to resolve issues professionally and respectfully wherever possible.
16. Termination of Services
Either party may end an agreement in certain circumstances, such as serious breach of terms, non-payment, unsafe conditions, or repeated failure to cooperate. If termination becomes necessary, work may stop immediately or after reasonable notice depending on the situation.
Any completed work, delivered materials, and outstanding payments will still need to be addressed in line with the agreement. Termination does not remove obligations already incurred under the contract.
17. Governing Principles
These terms are intended to operate in a fair, lawful, and practical manner. If one part of the terms is found to be invalid or unenforceable, the remaining sections should continue to apply wherever possible. The overall purpose is to ensure that landscaping projects are handled with clarity, accountability, and professionalism.
18. Final Agreement
By proceeding with a landscaping project, accepting a quotation, or authorizing work, the client acknowledges that they have read and understood these Terms and Conditions. It is important to keep a copy for reference during the project. A shared understanding of responsibilities reduces confusion and supports a smoother working relationship.
